This Core Spaces Privacy Policy describes the practices of Core Campus, LLC and its affiliates and partners (collectively referred to herein as, “Core Spaces,” “We,” “Us,” or “Our”) regarding the collection, use, and disclosure of information of each individual (each a “User” and, collectively, “Users,” and when such user specifically refers to you then “You,” “Your,” “Yours” or “Yourself”) who accesses or uses the Service as such term is defined in the Core Campus Websites Terms and Conditions. 1. INFORMATION COLLECTION

1.1 Core Spaces may collect user information, both personal and non-personal, through the Service. The information is gathered from Your usage of the Service, as well as from Your entry of information in our Service. This collected information consists of two basic types of data: (1) personal information; and (2) non-personally identifiable information. Personal information is information that can be used to uniquely identify You as an individual or contact You directly. This may include information such as Your name, physical address, location, device name or number, MAC address, IP address, telephone number, date of birth, social media handle, other login information and passwords, and email address, as well as driver’s license number or vehicle year, make, model and license plate. Personal information may also include sensitive information such as income amounts, payment data, credit records, social security numbers, and account numbers. Personal information is only collected based upon Your choice to provide it to Core Spaces. You have the option to choose not to provide personal information to us; however, the lack of some personal information may prevent Core Spaces from providing all, or certain, requested services.

1.2 In addition to collecting information through our Service, Core Spaces, its customers, and Core Spaces’ third-party associated service providers and vendors discussed in Section 2 of this Privacy Policy may collect information during Your process of applying to register to rent property, including through a background check, and that information may be held by Core Spaces and used in connection with our Service.

1.3 Non-personally identifiable information is general information that does not permit direct association with You as an individual (“Non-PII”). When You use our Service, we may automatically collect Non-PII such as browser, internet connection speed, past web pages visited, and Your link selections on our various website pages or within the Website. All of this Non-PII may be used to: (1) manage and protect our Website, software applications, products, services, and users from fraudulent, abusive, or unlawful uses; and (2) help us research, develop, and improve our Website, software applications, products, and services. This Non-PII may also be aggregated or otherwise rendered anonymous for business and marketing uses by Core Spaces or by third parties.

2. INFORMATION DISCLOSURE

2.1 We may share Your information within the Core Spaces family of companies, with our affiliated property owners, and with Your property owner and property management company for operational and marketing purposes. Core Spaces and Your property owner or property management company may also share Your information with a third-party payment processing company or financial institution to verify and conduct payment transactions, or a third-party software provider to manage or integrate Your information into Core Spaces’ Service, or offer complementary services to Core Spaces’ Service. The Core Spaces companies that access Your information will do so in conformity with the practices described in this Privacy Policy. Sharing this information allows Core Spaces to provide You with a quality customer service experience, provide You with the services You have ordered or requested, and notify You of the latest information regarding new or enhanced products, services, and promotions. Core Spaces may periodically send offers, promotions, and updates regarding Core Spaces products and services to current and potential users via e-mail. Every marketing e-mail Core Spaces sends contains instructions and procedures allowing You to opt out of additional marketing e-mails for that product or service.

2.2 We may also transfer certain personal information to third parties for the purpose of providing You with relevant promotions and product information, event announcements and other marketing communications. This may include when we cooperate with other companies, to offer joint products and services to You, or when our partners sponsor or participate in our events. Please note that once personal information is shared with another company, the information received by the other company becomes subject to its privacy policies and practices. You may opt out of these third-party communications by clicking the unsubscribe link in any emails received.

2.3 In some circumstances, we may also use third-party companies, agents, and contractors to perform services on our behalf, such as application development, website optimization, email distribution, lease execution, processing payments, including ACH, credit and debit card transactions, infrastructure and IT services, legal services, background screening, collection agencies and other data analysis, processing, or handling functions. Core Spaces may share Your information with these third parties to the extent reasonably necessary for the third party to perform the services on our behalf.

2.4 Core Spaces may also retain or disclose user information if we reasonably believe that such retention or disclosure is necessary:  (I) to satisfy any applicable legal or regulatory requirement, (ii) to respond to a governmental request, as required by law such as to comply with a subpoena, or similar legal process, (iii) to enforce the Core Spaces Terms and Conditions, End User License Agreement, and Privacy Policy or investigate potential violations thereof, (iv) to protect against fraudulent, malicious, abusive, unauthorized or unlawful use of Core Spaces products, services, and websites, (v) to protect our rights or property, or the safety or security of our customers, employees or data, or (vi) to prevent physical harm or financial loss. Disclosure of information in accordance with this subsection may include reporting of personal information and Non-PII to law enforcement.

2.5 If Core Spaces enters into any business transition, restructuring, merger, sale, or other transferring of assets, we reserve the right to transfer, or retain, user information, including all personal information, as part of or in connection with the transaction.

2.6 If You wish to opt out of having Your information disclosed to third parties for any purpose, please contact us at privacy@corespaces.com.

2.7 In the event Your personal information is determined to be outdated, incomplete, or inaccurate, You may access and update Your information by logging into Your Core Spaces account or contacting us through the means provided below. (See “Contact Us”). If You require verification that Your requested changes have been completed, and such verification is not readily displayed in Your product or service account, You may request confirmation at the email address listed below (See “Contact Us”).

2.8 Mobile information will not be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

3. COOKIES, WEB BEACONS, AND OTHER TECHNOLOGIES

3.1 When You access our Service, Core Spaces servers may place small text files (“cookies”) on Your computer for recordkeeping purposes. Among other things, cookies enable Core Spaces to gather information about Your activity on our websites, and in connection with our services, for the purposes of improving Your online experience, remembering Your preferences and settings, delivering advertising to match Your preferences and interests, and for other similar customization purposes. Cookies allow us to collect data such as browser type, time spent on our Service, pages visited, referring URL, language preferences, and other aggregated traffic data. We use the data for security purposes, to facilitate navigation, to display data more effectively, to collect statistical data, to personalize Your experience while using the Service and to recognize Your computer to assist Your use of the Service. We also gather statistical data about use of the Service to continually improve design and functionality, understand how they are used, and assist us with resolving questions. You can choose whether or not to accept cookies. If, however, You do not accept cookies, You may experience some inconvenience in Your use of the Service.

3.2 In addition to cookies, Core Spaces may utilize web beacons, clear gifs, or other technologies built into our websites, products and services to gather information on how users interact with and utilize various features. These technologies can help personalize Your Core Spaces usage experience and help associate Your interactions with our products and services to other information within Your account. For example, these technologies can identify popular pages, viewing patterns, click-through, conversion rates, and other information that can be used to improve, monitor, and operate our websites, products, and services.

4. THIRD-PARTY ADVERTISEMENTS AND LINKS TO OTHER SITES

4.1 Certain Core Spaces services may include third-party advertisements and links to other websites. These linked websites are operated by unaffiliated third parties that have separate and independent privacy statements, terms of use, and related notices or disclosures regarding information handling practices. Third-party advertisers may also utilize cookies, web beacons, and similar technologies to collect information regarding Your website interactions and activities. These third-party technologies may be utilized by those entities to provided targeted advertising and web links based upon Your activities and preferences. If You choose to interact with specific advertisers who advertise on our sites, the information You provide to them is subject to the conditions of their specific privacy policies and in no way covered by the practices described in this Privacy Policy. Core Spaces cannot be responsible for the information handling practices of independent parties and encourages You to review their practices prior to information disclosure.

5. SOCIAL MEDIA INTEGRATION

5.1 The Service may include the option of integration through third-party social networking sites and related social media plug-ins or applications. When You integrate or link our Website products and services with Your social media applications (e.g., Facebook, LinkedIn, Instagram, etc.), You authorize Core Spaces to have access to certain information from Your social media profile (e.g., name, e-mail address, photo, gender, birthday, location, Your list of friends, comments, etc.) to deliver the content or as part of the operation of the integrated Website. Core Spaces may also obtain Non-PII (e.g., content viewed, advertising viewed, etc.) from Your interaction with Our integrated content.

 

5.2 By choosing to integrate any portion of the Service with social media applications, You consent to the use of this information in accordance with our Privacy Policy. When You provide personal information to us through an integrated application, it may be publicly viewed by other members of these sites, and Core Spaces cannot prevent further use of the information by independent third parties. For more information about how social networking sites handle Your personal information and available privacy settings, please refer to their privacy policies and terms of use.

6. LOCATION-BASED SERVICES

6.1 Core Spaces’ Website may allow access via smartphones, web browsers, and mobile devices, with the ability to provide location-based services.

6.2 Core Spaces’ Website may include the option to provide You with helpful information based on where You are. To provide such location-based services, Core Spaces may collect, use, and share precise location data, including the real-time geographic location of your computer, mobile device, or other applicable device. This location data is collected anonymously in a form that does not personally identify You. If You wish to deactivate this feature, You can disable the location services on Your mobile device or web browser.

7. INFORMATION SECURITY

7.1 Core Spaces implements and maintains physical, administrative, and technical safeguards designed to secure user information and prevent unauthorized access to or disclosure of that information. Under our security policies and practices, access to sensitive personal information is authorized only for those who have a business need for such access, and sensitive records are retained only as long as reasonably necessary for business or legal purposes. Core Spaces strives to protect the user information that Core Spaces collects and stores, however, no security program is 100% secure, and Core Spaces cannot guarantee that our safeguards will prevent every unauthorized attempt to access, use, or disclose personal information. Core Spaces maintains a security incident response program to handle incidents involving unauthorized access to private information Core Spaces collects or stores. If You have reason to believe that Your interaction with us is no longer secure (for example, if You feel that the security of Your account has been compromised), please immediately notify us in accordance with the “Contact Us” section, below.

8. CHILDREN’S ONLINE PRIVACY

8.1 Core Spaces does not target children under the age of 13 for the collection of information online.

8.2 Core Spaces’ products, services, and the Website are not designed to attract the attention of, and are not available for use by, persons under the age of 13.

9. US-STATE SUPPLEMENT

This US State Supplement provides additional information for residents of California, Connecticut, Colorado, Nevada, Utah, and Virginia.

Your Rights

Your rights as specified under state law may include the following:

  • Right to Delete Your Information. Upon your request, we will delete the personal information we have collected from you, subject to certain legally permissible exceptions.
  • Right to Know and Access Your Personal Information.  You have the right to ask us to confirm whether we process your personal information and for a copy of the personal information we maintain about you.
  • Right to Correct Inaccurate Personal Information.  You have a right to request that we correct inaccurate personal information about you.  We also encourage you to check the settings in our apps and websites.  Some personal information can be directly changed or corrected by you.
  • Right to Pot Out of the Sale of Your Personal Information. You can tell us not to sell your personal information according to applicable law.  We do not sell personal information of children we know are under the age of 16. 
  • Right to Limit Use of Your Personal Information for Targeted Advertising. You can ask us not to use or disclose your personal information for targeted advertising. Even if you opt out of targeted advertising, we will continue to collect and use data for other purposes.  We do not use or disclose personal information of children we know are under the age of 16 for targeted advertising.

We do not use or disclose personal information for profiling in furtherance of decisions that produce legal or similarly significant effects on you without either your explicit consent or where otherwise permitted by applicable law.

How to Exercise Your Rights

You may send an email to privacy@corespaces.com to exercise your rights under applicable state law. Depending on the nature of the request, we may authenticate the request, such as by requiring a signed written permission from you that authorizes an agent to act on your behalf. A valid power of attorney will constitute signed written permission, but you are not required to obtain a power of attorney to use an authorized agent.

If you are the parent or guardian of a minor child, you may also submit a request on behalf of your child. In that event, we will ask you to provide your child’s email address and to submit a signed form authorizing us to proceed with the request regarding your child’s personal information. 

If we deny your request or cannot fulfill it, you may appeal our decision by contacting us via privacy@corespaces.com to ask us to review your request again. Your email should include “Appeal” in the subject line. You have the right not to receive discriminatory treatment if you exercise any of the rights explained in this US State Supplement.

Below are several additional California-specific disclosures and metrics provided in accordance with California law.

  • Categories of Information: In the last 12 months, we collected the following categories of personal information:
    • Personal and online identifiers, such as name, address, email address, online identifiers, IP address, account name, and similar identifiers.
    • Commercial and transactions information, such as records of products or services you obtained or considered and other information about your purchasing or consuming histories or tendencies.
    • Record-keeping information, such as financial information related to accounts you may have with us.
    • Internet or other electronic network activity information, such as your searches on our Service and information about your interactions with our Service, including your interactions with contextual ads that may be shown on our Service.
    • Demographic information/characteristics of protected classifications, such as your gender or age.
    • Biometric information, if you choose to participate in one of our interactive research studies or other initiatives.
    • Geolocation data.
    • Audio, electronic, visual, or similar information, such as photos, videos, and call recordings.
    • Inferences drawn from the above information about your predicted characteristics and preferences.
    • Sensitive personal information, such as your account credentials and race or ethnicity.
    • Other information about you that is linked to the personal information, such as your date of birth.
  • Sources of Information. We collect personal information from you and from the following categories of sources:
    • Linked sites;
    • Our affiliates;
    • Our joint-ventures and promotional and strategic partners;
    • Information suppliers;
    • Distributors and other vendors;
    • Other users submitting information about you, such as to invite you to participate in an offering, make recommendations, or share content; and
    • Publicly available sources.
  • Disclosure of Information for Business Purposes. In the past 12 months, we may have disclosed for business purposes each of the categories of personal information listed above to the following categories of third parties:
    • Our affiliates;
    • Service providers;
    • Social media platforms;
    • Advertising partners;
    • Analytics partners; and
    • Promotional partners.
  • Sales or Sharing of Your Information. California law defines the term “sale” very broadly. It includes the disclosure of personal information in exchange for anything of value. The term “sharing” is defined as disclosure of personal information for personalized advertising which is based on a consumer’s information obtained from the consumer’s activity across non-affiliated websites. Applying these definitions, we may have sold or shared the following categories of personal information in the past 12 months:
    • Online identifiers;
    • Demographic information;
    • Commercial and transactions information;
    • Internet or other electronic network activity information;
    • Coarse geolocation data; and
    • Inferences, such as audience segmentation.
  • In the past 12 months, we have sold or shared each of the categories of personal information listed above to:
    • Our affiliates;
    • Promotional partners;
    • Advertising partners;
    • Analytics partners; and
    • Social media platforms.
  • Children under 16. We do not “share” or “sell” (as defined under California law) personal information of children we know are under 16 years of age.
  • Right to Opt Out of the Sale or Sharing of Your Information. If you are a California resident, you can tell us not to “sell” or “share” (as defined under California law) your personal information by sending an email to privacy@corespaces.com.
  • Right to Know Categories of Information. If you are a California resident, you can ask to receive the categories of your personal information that we have collected, used, disclosed, sold, and shared; the categories of sources from which we have collected your personal information; our purposes for collecting, selling, or sharing your personal information; the categories of personal information we have disclosed or sold; and the categories of third parties to whom we disclosed or sold your personal information.
  • Sensitive Personal Information.  We do not use or disclose “sensitive personal information” (as defined under California law) in any way that would require us to provide an opt-out opportunity under California law.
  • Retention of Information: We retain personal information we collect only for so long as reasonably needed to fulfill the purposes for which we collected it. We use reasonable business criteria to establish retention periods for personal information. For example, if you register on our Service, we will store your personal information for as long as needed to maintain your account, fulfill your requests, enforce any applicable terms that govern your use of the Service, maintain appropriate records of the above, or as otherwise required by law.

Right to Delete for Users Under 18.  If you are a registered user of one of our Service, and you are under 18 years of age, you may have the right to request removal of content or personal information posted on our Service.  To request this removal, you may contact us at privacy@corespaces.com.  Please note that we cannot completely prevent further use or disclosure of that content or information by others once you have shared it in a publicly available forum.

10. PRIVACY POLICY CHANGES

10.1 As Core Spaces develops new products and services, updates or expands technologies, and develops new information uses, Core Spaces reserves the right to update this Privacy Policy as necessary to reflect such changes. Core Spaces recommends that You review this policy periodically for any changes that may have been made.

10.2 Your continued use of Core Spaces products, services, and websites subsequent to any changes made after Your initial consent means that You agree to be bound by those changes. In the event that Core Spaces makes any material changes or amendments to this Privacy Policy, Core Spaces will provide You with adequate notice of the updated Privacy Policy via the Website, including, but not limited to publishing a notification on the footer of the Website. The most current version of this Privacy Policy supersedes all previous versions.
